General Purpose

The first point of contact for constituents, council members, and others interacting with the City Administration, the Administrative Assistant handles a variety of clerical, administrative, and public interfacing functions throughout city government. This position provides critically important support to administrative officials and the duties range from simple tasks to complex projects.

As part of a small team of employees who by necessity have to cross-train and act as backups to each other, the Administrative Assistant will provide backup support and assistance to other administrative staff.

Reporting Relationships

The Administrative Assistant reports directly to the City Manager.

Essential Functions

This position supports the Treasurer, City Manager, City Council, and Mayor as needed on a regular basis by:

  • Act as the first point of contact
  • Receiving and directing incoming telephone calls, email inquiries, and other communications that come into City Hall;
  • Understanding and administering the initial processing of applications for business licenses and vendor licenses, along with other application processes as needed;
  • Assisting with the administration of records retention policies;
  • Providing information to the public and other entities and agencies as directed;
  • Assisting with public notices and other correspondence; and
  • Other duties as needed.

Education and Experience

This position requires an Associate's Degree in Business or a related field of study; or two years of increasingly responsible administrative or secretarial experience; or an equivalent combination of training and experience.

Experience in a government setting is highly desirable, particularly that which is specific to municipal organizations, ordinances, rules, policies and procedures.

The Administrative Assistant must have a working knowledge of:

  • Office administration practices and procedures;
  • Principles and practices of sound business communication;
  • Correct English usage, including spelling, grammar and punctuation;
  • Advanced uses of word processing, spreadsheet, database and other standard software to create complex documents and materials requiring the interpretation and manipulation of data;
  • Standard recordkeeping, filing, and purchasing practices and procedures;

Knowledge of and experience with Google Apps for Business is strongly preferred.

Work Environment and Physical Demands

Employees work under typical office conditions, and the noise level is usually quiet.

While performing the duties of this job, employees are regularly required to sit, walk and stand; talk or hear, both in person and by telephone: use hands repetitively to finger, handle, feel or operate standard office equipment; reach with hands and arms; and lift up to 25 pounds.

While performing the duties of this job, employees are regularly required to use written and oral communication skills; read and interpret data, information and documents; analyze and solve non-routine and complex office administrative problems; use math and mathematical reasoning; observe and interpret situations; learn and apply new information or skills; perform highly detailed work on multiple, concurrent tasks; work under intensive deadlines with frequent interruptions; and interact with City managers, staff, customers, the public and others encountered in the course of work.

Selection Guidelines
