General Purpose

Under the general supervision of the City Treasurer, performs a variety of working level clerical support duties.

Reporting Relationships

The Deputy Treasurer I reports directly to the City Treasurer and is also under the broad supervision and guidance of the Finance Director.

Essential Functions

This position's priority is to be the first point of contact for the Citizens.

The Deputy Treasurer I:

  • Answers telephone(s), screens and routes calls, takes messages
  • Provides routine information and resolves citizen problems in person or over the telephone using policies, procedures, tables, charts, ledgers, etc.
  • Hands out forms, pamphlets, booklets, applications, etc.
  • Assists clients/customers in filling out forms and applications, etc.
  • Refers to and provides public information on office or division policy and procedures;
  • Receives, opens, sorts, stamps and distributes mail
  • Processes customer payments in-person, over the phone and by mail
  • Performs mathematical calculations
  • Copies documents: copies, collates, staples and binds reports, contracts and other documents
  • Maintains reports, logs and/or lists
  • Reviews a variety of material and extracts required data
  • Sets up, prepares and maintains office alphabetical, chronological, numerical and/or subject matter files
  • Sorts and files materials using manual and automated alphabetic, numeric, chronological or color-coded filing systems
  • Checks files for duplicate, missing or misfiled items, and purges and/or archives files and records
  • Operates a personal computer to enter, store, retrieve, edit and delete information to/from a database;
  • Enters or posts data to documents, ledgers, spreadsheets, etc.;
  • Enters data using a variety of patterns, formats and variations;
  • Proofreads entered data and makes appropriate corrections
  • Performs other related duties as assigned.

Minimum Qualifications

Education and Experience:

  • Highschool Diploma or equivalent
  • One (1) year of clerical experience in a professional setting;
  • Or an equivalent combination of related education and experience
  • Experience in a government setting is highly desirable, particularly that which is specific to municipal organizations.

Required Knowledge, Skills and Abilities

Knowledge of:

  • Business English
  • Business mathematics
  • Filing methods and techniques

Skill in:

  • Typing
  • Ten-key
  • Proper telephone etiquette

Ability to:

  • Communicate effectively both verbally and in writing

Work Environment and Physical Demands

Employees work under typical office conditions, and the noise level is usually quiet.

While performing the duties of this job, employees are regularly required to sit, walk and stand; talk or hear, both in person and by telephone: use hands repetitively to finger, handle, feel or operate standard office equipment; reach with hands and arms; and lift up to 25 pounds.

While performing the duties of this job, employees are regularly required to use written and oral communication skills; read and interpret data, information and documents; analyze and solve non-routine and complex office administrative problems; use math and mathematical reasoning; observe and interpret situations; learn and apply new information or skills; perform highly detailed work on multiple, concurrent tasks; work under intensive deadlines with frequent interruptions; and interact with City managers, staff, customers, the public and others encountered in the course of work.

Selection Guidelines
